The short version
  • We collect your email address to sign you in, plus the baseball data you create: saved teams, rosters, lineups, game results and club names.
  • Your club name is visible to the other managers at your table or in your league. Your email address is never shown to other players.
  • We do not sell your information, we do not run ads, and we do not use analytics or tracking tools.
  • Two features use artificial intelligence: screening requests to join private leagues, and the scout's written advice. Below we say exactly what each one receives.
  • In a league with money, we keep the yes-or-no answers you and your commissioner give about buy-ins and winnings, and we look for signs of fraud. We never see, hold or handle the money.
  • You can ask us to delete your account and your data. We finish within 30 days, except that we wait for any league you are in to end.
  • Cooperstown Cash is for adults. Accounts are for people 18 and older.

Who we are

Cooperstown Cash (“we,” “us”) is a game where you manage historical baseball teams in simulated leagues. It is operated by operator name to be confirmed. You can reach us about anything in this policy at contact email to be confirmed. Our mailing address is mailing address to be confirmed.

This policy covers the Cooperstown Cash website and everything you do on it. It is not a contract, but our Terms of Service and the League Agreement you sign to join a private league explain the rules of using the service.

What we collect, and why

We collect only what we need to run the game. Here is all of it.

Your email address and profile
What: your email address and the display name on your profile. Why: to send you a sign-in link and to identify your account. We use links, not passwords, so we never ask for or store a password. Who can see your email: only us and our service providers. Other players never see it.
Your saved games
What: your mock drafts, quick games, practice league, saved teams and unlocked cards, in up to five save slots that sync to your account. Why: so your progress follows you from device to device.
Your club and league activity
What: the club names you choose, which tables and leagues you sit in, your roster, batting order, rotation and other manager settings, your results, a play-by-play record of every game, and who started each game. Why: to run leagues, play your games, and show standings and box scores.
Requests to join a private league
What: your club name, your answer to “how do you know this league,” the time you confirmed you are 18 or older, and the screening note described in the AI section below. Who can see it: the commissioner of that league.
Your signed League Agreement
What: the name you typed, your initials on each section, the date and time, the Internet address (IP address) and browser details you signed from, and a fingerprint of the exact text you agreed to. Why: so we can show that you agreed, and to help spot fraud, such as one person running several accounts in the same league (see “How we use your information”). We keep this record even if you later delete your account, as explained under “How long we keep it.”
Commissioner details
What: the league you run, its invite code, and whether each member's Private League Hosting Fee has been paid. If we charge the Private League Hosting Fee, a payment processor handles the payment, and we keep the amount and the processor's payment reference. We do not receive or store your card number.
Your answers about league payments
What: in a league with a buy-in, whether you say you paid your buy-in, whether the commissioner says he or she sees your payment, whether a prize winner says they received a prize, whether the commissioner says a prize was assigned, the LeagueSafe link a commissioner adds, and the time of each answer. Also any report you send us about a league, and a permanent history of these answers with the time of each. Why: so members and commissioners can check each other, and so we can look into problems. We do not see, hold or handle league money, and we do not see or store any card or bank details for league dues.
Your game record
What: when you are signed in, each quick game you finish (the two club names, the score, how many innings, and the date), and your wins and losses with drafted teams. Your league results are kept by the league itself. Why: to show you your own record, your seasons and your championships on the My record page.
Game tokens
What: a ledger of any game tokens in your account. Why: to keep an accurate, permanent record of tokens.
Usage counts for limits
What: how many times you use the AI scout in a day. Why: to apply a daily limit.
Technical information
What: when you visit our website, our hosting and database providers record routine details such as your Internet address, browser type and the pages requested. Why: to keep the service running and secure.

What we do not collect

We do not collect your precise location, your contacts, your payment card numbers, government ID numbers, or sensitive personal information such as health or political views. We do not use analytics or advertising trackers. We cannot see your LeagueSafe account or what you pay or receive there.

What other people can see

  • At a free public table: every manager at the table sees your club name. Choose one you are happy to have seen by strangers.
  • In a league: members see your club name, the standings, results, box scores and play-by-play. Rosters are revealed to the whole league once the season starts.
  • Private league commissioners see the club name and the answer you gave when you asked to join, and any screening note.
  • Your record. Your My record page is visible only to you. Other members see a league's standings and results, as they always have.
  • Your answers about payments. In a league with a buy-in, your own answer about your buy-in is visible to you and to the commissioner, and the commissioner's answer about you is visible to you. Other members see only totals, such as how many members say they paid and how many answers do not match, never names. After a season, everyone in the league sees whether each prize winner has confirmed receiving the prize, along with the winner's club name. A report you send is seen only by us.
  • Your plans stay private. Other managers cannot see your batting order, rotation, leash setting or the starter you pick for a game until that game has been played.
  • Your email address is never shown to other players or to a commissioner.

How we use your information

  • To run the game: sign you in, sync your saves, schedule and play games, and keep standings.
  • To screen join requests and detect misuse such as fake or duplicate accounts, abusive names or spam.
  • To look for fraud in leagues that involve money, such as one person running several accounts in a league, or a commissioner collecting buy-ins outside LeagueSafe. We compare account age, when accounts were created, the size of the buy-in, the Internet address and browser details recorded when you signed the League Agreement, the payment answers and reports described above, and how often a commissioner's own seat wins. A restricted internal page shows the owner of Cooperstown Cash, and only the owner, each private league's members' email addresses and Internet addresses for this purpose. A person reviews anything it flags. Nothing is decided or done automatically.
  • To enforce our Terms and the League Agreement, and to keep the service secure.
  • To answer your questions and send messages about your account or your league, such as sign-in links.
  • To meet legal obligations.

We do not sell or rent your personal information, and we do not share it for advertising. No decision that significantly affects you is made by a computer alone. The screening described below only advises a commissioner, and a person decides.

Artificial intelligence features

Two features use an AI service. We send each one only what it needs.

1. Screening requests to join a private league

When you ask to join a private league, the club name you chose, your answer to “how do you know this league,” and the league's name are sent to an AI service (currently Groq). It writes a short recommendation for the commissioner, such as whether the name looks abusive or the answer looks like spam. We store that note with your request. It is only a recommendation, and the commissioner decides. We do not send your email address.

2. The scout's written advice

When a signed-in player asks the scout for advice, the game works out the facts itself: player names, seasons, statistics and your budget. Only those baseball facts are sent to an AI service (currently Groq) so it can put them into a sentence or two. We do not send your name or email address. We check the answer and discard it if it contains numbers the game did not supply.

AI services process what they receive under their own terms and privacy policies. You can read Groq's at groq.com. We may change AI providers, and if we do we will update this policy.

Who we share it with

We use a small number of service providers to run Cooperstown Cash. They may handle your information only to provide their service to us.

  • Supabase provides our database, sign-in and server functions. Our data is stored in the United States (US East).
  • Netlify hosts and delivers our website.
  • Groq provides the AI features described above.
  • GitHub hosts the website's code and its public baseball data files. Those files contain no personal information.
  • Google Fonts supplies the typefaces on our pages. When a page loads, your browser asks Google for the fonts, which means Google sees your Internet address.
  • An email service delivers sign-in links and league messages.
  • A payment processor (for example Stripe) handles payment of the Private League Hosting Fee, if and when we charge it.

LeagueSafe and other money services. Some private leagues use a third-party service to handle dues. We link to it as a convenience. We are not affiliated with it, we do not send it your information, and we do not see what you share with it. Its own privacy policy applies. We only record the yes-or-no answers that you and your commissioner give us about payments there, and we cannot see whether anyone actually paid.

We may also disclose information if the law requires it, to respond to valid legal requests, to protect the rights, safety or property of our users or us, or as part of a sale or transfer of the business. We will not sell your information otherwise.

Cookies and storage on your device

We do not set advertising or tracking cookies. To work, the website stores small pieces of information in your browser's local storage: your sign-in session, your saved games and draft progress, your preferences (such as sound on or off), which support prompts you have dismissed, and how far you have gotten through a game you are playing. This stays on your device. Clearing your browser's site data removes it, though it will also sign you out, and any saves that were not yet synced to your account would be lost.

Your choices and rights

  • Access and correction. You can ask us for a copy of the information we hold about you, or ask us to correct it.
  • Deletion. You can ask us to delete your account and your data. Email us from the address you sign in with. We aim to complete a deletion within 30 days, unless you are in a league that has not ended. See “Deleting your account” below for what is deleted and what stays.
  • Sign-in. You can sign out at any time.
  • Marketing. We do not send marketing email.

If you live in California or another state with a privacy law, you may have additional rights, including the right to know what we collect, to delete it, to correct it, and to opt out of the sale or sharing of personal information. We do not sell personal information or share it for advertising. We will not treat you differently for using these rights. To use them, email us. We will confirm your identity through your sign-in email before acting.

We operate in the United States. If you use Cooperstown Cash from elsewhere, you understand your information will be processed in the United States.

Deleting your account

Email us from the address you sign in with and ask us to delete your account. We reply to that address to confirm it is you, and we aim to finish within 30 days.

If you are in a league that has not ended, we cannot delete your account yet, because it would remove a manager from a running league. If the league has not started, leave it and we will delete your account. If the season is under way, we will delete your account when the season ends. If you are a commissioner, cancel the league or wait for the season to end.

What we delete: your email address and sign-in, your profile and display name, your saved games and teams, your rosters and manager settings, your requests to join leagues, your votes to end a league early, any queued messages, your AI usage counts, your quick-game results, and your own answers about league payments.

What stays:

  • The results, standings and box scores of finished leagues, so that other members' histories stay complete. Your club name in them is replaced with “Former manager.” The record of who started a game stays without your name.
  • Your signed League Agreement record: the name you typed, your initials, the date and time, the Internet address and browser details you signed from, and the text fingerprint. It is kept under an internal account number with no link to a live account, for as long as we need it to resolve a dispute, enforce an agreement or meet a legal obligation.
  • Reports you sent, without your name, until they are deleted 14 days after the league ends.
  • A note that an account was deleted and when, with an internal account number and no other personal information, so we can show we honored your request.
  • Copies in our providers' backups, which age out on their normal schedule.

How long we keep it

We keep your account and game data while your account is active. If you ask us to delete your account, we delete your personal information and your saves. Copies in our providers' backups age out on their normal schedule.

Some records may be kept, disconnected from your identity where we can, for as long as we need them to resolve a dispute, enforce an agreement or meet a legal obligation. These include the record of your signed League Agreement and any game-token ledger entries. Results and box scores from finished leagues may remain so that other members' histories stay complete, and we will replace your club name in them on request where practical.

Your answers about league payments, the permanent history of them, and any reports are deleted automatically 14 days after a league's season ends or the league is canceled. Until then they are kept with the league, so that a dispute can still be understood. If you ask us to delete your account sooner, your own buy-in answers are deleted then. Reports you sent are kept without your name, and the league's record of whether a prize was confirmed stays without your name, until that same 14-day deadline. The permanent history keeps an internal account number instead of your email address. The Internet address and browser details recorded when you signed the League Agreement are part of the signed record described above, and are not deleted after 14 days.

How we protect it

We use reasonable safeguards. Connections to the website are encrypted. The database is set up so a player can read only their own private information and what their league is meant to see. Our AI service key is kept in an encrypted secret store, not in the website's code. The dice for league games are rolled on our server, not on your device. No system is perfectly secure, so we cannot promise absolute security. If a breach affects you, we will notify you as the law requires.

Children

Cooperstown Cash is for adults. Accounts are for people 18 and older, and the League Agreement requires every private-league member to be at least 18. The quick game and mock draft are not meant for children under 13 either. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, email us and we will delete it.

Changes to this policy

We may update this policy as the game changes. We will post the new version here with a new “last updated” date. If a change is significant, we will also tell you by email or with a notice on the site before it takes effect.
